Cancellation & Booking Policy
Because Well Spent Weekends™ experiences require significant advance commitments for accommodations, food and beverage, activities, instructors, transportation, guest amenities, staffing, and other program expenses, all reservations are subject to the following cancellation policy.
Non-Refundable Deposit
A non-refundable deposit is required to reserve your place on a Well Spent Weekends getaway.
The deposit amount will be clearly stated during registration and is applied toward the total trip price.
Except when Well Spent Weekends cancels the getaway as described below, deposits are non-refundable.
Guest Cancellations
Cancellation requests must be submitted in writing to hello@wellspentweekends.com.
Refund eligibility is based on the date we receive your written cancellation.
More Than 90 Days Before Departure
Payments made above the non-refundable deposit will be refunded in full.
61–90 Days Before Departure
Guests will receive a refund equal to 50% of payments made above the non-refundable deposit.
60 Days or Less Before Departure
No refunds will be issued.
This policy applies regardless of the reason for cancellation, including illness, personal emergencies, changes in travel plans, flight disruptions, or other circumstances that prevent a guest from attending.
For this reason, we strongly encourage all guests to purchase appropriate travel insurance.
Reservation Transfers
Reservations may not be resold, advertised for resale, or transferred to another guest without prior written approval from Well Spent Weekends.
When sufficient time remains before departure, Well Spent Weekends may permit a guest to transfer their reservation to another eligible participant, subject to availability, supplier requirements, completion of all required registration materials, and an administrative transfer fee.
Transfer requests made within 60 days of departure may not be accommodated.
Well Spent Weekends reserves the right to approve or decline any proposed transfer.
Roommates & Occupancy Changes
Guests booking double-occupancy accommodations are responsible for the occupancy arrangement associated with their reservation.
If a roommate cancels and a replacement roommate is not available, the remaining guest may be responsible for an applicable single-occupancy supplement or other additional lodging costs.
We will make reasonable efforts to assist with available roommate options but cannot guarantee a roommate match.
Minimum Enrollment
Certain Well Spent Weekends experiences require a minimum number of participants.
If minimum enrollment is not reached, Well Spent Weekends reserves the right to cancel the getaway.
Guests will be notified as promptly as reasonably possible and will receive a refund of amounts paid directly to Well Spent Weekends for the cancelled getaway.
Guests should avoid making non-refundable airfare or other independent travel arrangements until any recommended booking date or trip confirmation provided by Well Spent Weekends.
Cancellation by Well Spent Weekends
If Well Spent Weekends elects to cancel a getaway for reasons within our control, guests will receive a refund of amounts paid directly to Well Spent Weekends for that getaway.
Unless otherwise expressly stated, Well Spent Weekends is not responsible for independently purchased expenses, including:
Airfare
Airport transportation
Travel insurance premiums
Pre- or post-trip hotel accommodations
Passport, visa, or documentation expenses
Personal purchases
Other travel arrangements made independently by the guest
Travel insurance should be considered for these expenses as well as for the Well Spent Weekends package itself.
Events Beyond Our Control
Travel may be affected by circumstances beyond the reasonable control of Well Spent Weekends, including severe weather, natural disasters, government actions, public-health events, transportation disruptions, labor disputes, property closures, safety concerns, or other force majeure events.
When reasonably possible, Well Spent Weekends may modify dates, accommodations, activities, venues, or other aspects of the itinerary rather than cancel an experience.
If an experience cannot reasonably proceed, any refund, credit, or rescheduling option will take into account amounts that Well Spent Weekends is able to recover from hotels, activity providers, restaurants, transportation companies, and other third-party suppliers.
Well Spent Weekends cannot guarantee recovery of amounts that have already become non-refundable under supplier contracts.
Itinerary Changes
Specific activities, instructors, restaurants, venues, and other itinerary components may change because of weather, availability, safety considerations, supplier changes, or other circumstances.
Reasonable itinerary changes or substitutions do not constitute cancellation of the getaway and do not entitle a guest to a refund.
Whenever possible, we will provide a comparable alternative consistent with the overall quality and spirit of the experience.
Travel Insurance
Travel insurance is strongly recommended to protect your investment.
Guests should review available coverage carefully and consider policies that may cover trip cancellation or interruption, medical emergencies, travel delays, lost baggage, and other unexpected circumstances.
Well Spent Weekends does not guarantee the scope or availability of coverage under any travel insurance policy.
